1. Director: Healthcare Academy

Qualifications & Experience: Post graduate in Management with 20 years’ experience out of with at least 5 years must be managing large vocation training institutions preferably in Healthcare sector.

Reporting: CEO, Tech Mahindra Foundation

Job Description:

• Overall responsibility: Will be the Administrative Head of the Academy responsible for efficient operation of the Academy in line with the objectives and guidelines from Tech Mahindra Foundation.

• Shall have clear understanding of all the processes like HR &Admin as well as the all other processes governing a large training institute from Registration to Assessment along with handholding importance of an Alumni association.

• Should have reasonable understanding of commercial functions e.g., budgeting, purchase, finance etc.

• Shall be responsible for producing / improving various Policies and Standard Operating Procedures and ensuring compliance thereof at all times.

• Shall be responsible for critical areas e.g., Mobilization, Internship and Placement.

• Shall be responsible for obtaining Accreditations / memberships of various bodies and renewal thereof.

• Shall be responsible for quality of training at the Academy and to strive for enhancing the benchmark to match the international standards.

• Shall be responsible for building relationship with NGOs, Associations, bodies corporate, government departments and other organizations in the Sector.

• Should be Team Leader who can lead by example

• Should have good and effective communication skills.

• Should have good IPR skills.


2. Designation:Dean Academics – 1 no

Qualifications & Experience: An MBBS Doctor with a degree from an institution recognised by the MCI with a postgraduate degree in a clinical / paraclinical field preferably with an MHA / MBA. He / she should have minimum 15 years’ experience out of which 5 years should be at a senior faculty position with large vocational training institute in Healthcare Sector.

Reporting : Director Academy

Job Description:

• Shall be the Executive Head of the Academic Department.

• Shall be responsible for the delivery of quality training in Academics, on job training and Lab training for all students.

• Shall constantly monitor and update the quality of training from time to time as required by the Regulatory body/standards set by Management Committee.

• Shall revise/upgrade curriculum on power with industry/Country/International standards in vogue with respect AHP training.

• Shall arrange guest lectures and seminar from time to time.

• Shall advise faculty on best practices within the Academic Department.

• Shall play a key role in Accreditation of the Academy

• Develop external relationship for Student affiliations for on job training and placement opportunities as also with Institutions in field of AHP training.

• Carry out annual performance assessment of Nurse Tutors, Soft skill trainer, OT Technician and other staff of the Academic Department.


The Academic function will specially focus on the following:

• Planning the course schedule

• Preparation of time table

• Preparation of study material

• Preparation of curriculum and updating the same

• Coordination of classes

• Allotment of instructors

• To conduct periodic test as well as final certification test

• To organize workshop and seminars in collaboration with knowledge partners

• To assist administrative department in follow-ups for affiliation of students as well as accreditations

• To ensure best practices in training

• To work with placement Department in helping placement of students.

• Maintenance and serviceability of Technical Lab, Computer lab and Library.

• To work with Administrative department in Administrative processes as defined in this SOP about Attendance, Payment of Fee and any disciplinary issues regarding the students.


3. Designation:Admin Officer

Qualification & Experience: Graduate / Post Graduate in any discipline with minimum 15 years or MBA with 5-10 years of experience out of which 3 years should be in supervisory role.

Reporting : Director – Academy

Job Description:

• Shall supervise entire HR, Admin, Admission and Security and Housekeeping functions of the Academy.

• Issuance of Instructions/Advisories/Notices/Updates to various desk/ departments based on TMF Directives /directions from Director from time to time.

• Initiate process of admission of student’s master roll, student’s data including verification of credential of educational qualification/certificates of applicants, will also obtain a certificate from candidate that he/she is not involve in any legal/criminal case.

• Collate any administrative/Disciplinary inputs received from Dean Academics and update record sheet.

• Update finance desk to collect necessary fees from selected applicant.

• Issue identity card/ admit card to newly enrolled students.

• Issue attendance register to nominated class teachers/tutors of the assign courses. Monitor attendance of students and compile master data sheet.

• Maintain Staff attendance registers.

• Process leave request of staff once received duly recommended by Head of department/Dean.

• Maintain Master inventory ledger.

• Received all equipment/ stores/stationery purchased by academy and take on ledger stock.

• Issue equipment/ stores/stationery to various departments entities as per requirement/direction.

• Carry out quarterly/annual stock taking board of all property/equipment to identify loss breakages/abnormal wear and tear. A member staff from the respective department which holds the responsibilities.

• Handing/taking over of assets within the departments between staff to be coordinated by admin.

• Monitor electricity, water, telephones usage and bills.

• Monitor use of printer.

• Schedule meetings, appointments, interviews counseling of staff/students with the Director.

• Liaison with the staff of HarijanSevak Sangh, local Police, counselor for solving external issues if any.

• Liaison with electricity departments, water supply board, local vendors for constant supply of expendables.

• Monitor the internal administration desk (coordination with other departments and staff records.

• Monitor safety and security of the establishments

• Be the eyes and ears of the Director at all times.

Computer Proficiency and other:

• Proficient in Tally ERP with reasonably good speed.

• Proficiency in MS office specially in Excel at ease to efficiently and correctly use all logical formulae, vlukup, hlukup, pivot tables etc.,

• Good communication skill.


4. Designation:Finance Executive – 1 no

Qualification: Commerce Graduate / Post Graduate with minimum 10 year of experience working at a middle level position in Accounts and Finance in any medium size organization He must have good communication skills, proficiency in computers specially EXCEL and excellent knowledge & understanding of Tally ERP.

Job Description:

    Accounting:

    • Maintain books of accounts adhering to the accounting standards.

    • Maintain accounting vouchers with all supporting documents systemically and in an organized manner to facilitate audit and inspection by internal or outside agencies.

    • Ensure compliance with provision of law on TDS, Service Tax etc., and to submit timely information to the Foundation facilitating on time filing of various tax returns.

    • Periodic reconciliation of bank accounts.

    • Periodic reconciliation of vendor accounts.

    • Submission of periodic reports to the Foundation as per financial MIS.

    • Facilitate audit of accounts by internal and / or external agencies.

    • Monitor the cash flow, budget, and inventories.

    • Inform Director of any possible excess over the budgetary allocation reasonably in advance so that budgetary allocations are not exceeded.

    • Timely preparation of utilization statement for fund received from the Foundation and request for release of additional grant for the period as defined by the management.

    • Prepare periodic financial statements for the period as defined by the management and the annual financial statements at the close of the financial year.

    Planning & Budgeting:

    • Guide and support the project staff in preparing the budgets.

    • Communicate to Project staff on budget allocation and utilization appropriately.

    Procurement:

    • Assist the Purchase Committee in procurement of goods and material required ensuring strict adherence to laid down procedure as amended from time to time.

    Computer Proficiency and other:

    • Proficient in Tally ERP with reasonably good speed.

    5. Designation: Lead Mobiliser – 1 no

    Qualifications & Experience:MSW with minimum 10 years of experience or Any graduate with minimum 20 years of experience out of which at least 5 years must be on a senior position in mobilisation in the social sector in Tri-City of Chandigarh, Mohali and Panchkula & adjoining States of Punjab, Haryana, Himachal and Uttarakhand

    Reporting: Head – Mobilization and /or Director of the Academy

    Job Description:

    • Shall have in-depth understanding of the Mobilization Process in social sector.

    • Shall supervise and be responsible for consolidation of the entire effort and the work done by the Mobilizers.

    • Shall formulate Mobilization Policy and the Plan for execution in line with the assigned targets.

    • Shall act as mentor and motivator to the Team of Mobilizers.

    • Shall develop periodic reporting templates for Mobilization along with the template for report for the senior management and submit reports thereof.

    • Shall hold periodic meetings with the Mobilization team and suggest changes based on developments reported.

    • Shall arrange to develop a data base of potential students for follow up.

    • Shall arrange and conduct Academy visits and do presentation about the courses and the Academy and support counsellors in mobilizing visitors with the intent to convert visits into admissions.

    • Shall support the counsellor in taking all calls and maintain records of all incoming calls in given format.

    • Shall keep himself and the Mobilization Team updated on the courses run by the Academy as also the changes in the courses from time to time

    • Maintain data base of parents / guardian / prospective students visiting Academy with information as to their educational qualification, profession and annual income in give format.


    6. Designation:Community Mobilizer – 6 nos.

    Qualifications & Experience: Graduate with minimum 3 years of experience in mobilisation in the social sector in Tri-City of Chandigarh, Mohali and Panchkula & adjoining States of Punjab, Haryana, Himachal and Uttarakhand.

    Reporting : Lead / Head - Mobilization

    Job Description:

    • Clear understanding of Mobilization regarding the social sector and the work responsibilities.

    • Have / Develop detailed understanding of assigned territory and identify clusters for potential students.

    • Work in collaboration with NGOs/Organizations/Community leaders/Educational institutes/Govt. departments/etc. to reach out to students.

    • Identify potential students during mobilization and establish and maintain good relationship with them.

    • Effective execution of Mobilization Plan of the Academy.

    • Serious about the assignment with clear intent to achieve targets assigned.

    • Provide inputs to the Lead Mobilizer / Head – Mobilization on daily and periodically.

    • Daily/weekly/monthly reports on work done including areas covered, no of meetings held, no of visits by community leaders and potential students and the admissions to various courses etc.

    • Should have presentable personality

    • Should be have good communication skills

    • Should possess reasonably good IQ, perfect attitude and lots of patience
